The President shall be the principal executive officer of the organization and, subject to the control of the Executive Board shall in general supervise and control all the activities of the organization. The President shall be a member of the Executive Board and, when present, shall preside at all meetings of the Executive Board and all meetings of the membership. The President shall vote only in the case of a tie in a vote of the Executive Board or the membership. The President shall oversee the selection and appointing of the chairpersons of all Standing and Special Committees and shall be an ex-officio member of all committees of the organization. The President shall serve as the primary contact between the Executive Board and the Principal, Athletics Director, and coaching staff. The President shall represent the organization at meetings outside the organization, serve as an ex officio member of all committees except the nominating committee, and coordinate the work of all the officers and committees so that the purpose of the organization is served.

Vice President

The Vice-President shall be a member of the Executive Board and, in the absence of the President, shall perform the duties of the President. The Vice-President shall perform such other duties as are assigned by the President or the Executive Board. The Vice President shall oversee all 501c3 operations to ensure that CFBC remains in compliance and good standing. The Vice president shall request and oversee all facility use operations to include requests and reservation of said usage.

Secretary

The Secretary shall be a member of the Executive Board. The Secretary shall keep the minutes of the proceedings of the membership and the Executive Board, shall see that all notices are duly given in accordance with these Bylaws, shall be responsible to take, record and publish the meeting minutes, prepare agenda, shall manage all correspondence and communications, and, in general, perform all duties incident to the of Secretary and such other duties as may be assigned by the President or the Executive Board. The Secretary also keeps a copy of the minutes book, bylaws, rules, and any other necessary supplies, and brings them to meetings.

Treasurer

The Treasurer shall be a member of the Executive Board. The Treasurer is the authorized custodian to have oversight of all funds of the organization in accordance with the organization’s financial policies. The Treasurer will organize, document, and record all financial activities. The Treasurer will be diligent and conscientious in ensuring all funds are received and spent in accordance with the organization’s tax-exempt purpose, bylaws and budget. The financial records belong to the organization and must be available to the other officers and members upon request. The Treasurer will make sure that all 501c3 filings are completed and submitted timely.

The Treasurer shall:

  • Prepare an annual budget for review and approval by the members.
  • Ensure that numbered receipts are provided for cash received by the organization.
  • Ensure that all funds are timely deposited in the organization’s authorized bank account(s).
  • Ensure that payments and disbursements are authorized by approved budget, or an amendment to the budget.
  • Present a written financial report (including income and expenditures and comparing budgeted amounts to actual year-to-date amounts), at each Executive Board Meeting.
  • See that an annual financial review or audit, as appropriate based on budget size, is conducted and presented to the Executive Board.
  • Prepare and file all 501c3 documents in accordance with the State of Arizona.

As approved and directed by the board members, the Membership/Volunteer Committee Chair helps recruit and manage members and volunteers to support the Crismon Football Program.

• Event Planning & Support – Assist with planning, organizing, and executing events related to the program.

• Collaboration – Work closely with other committee chairs and board members to align volunteer efforts with club goals.

• Foster Engagement – Build a sense of community and encourage active participation from all members.

• Budgeting and Fundraising – Work within a set budget and assist with fundraising efforts to support meal costs.

• Food Procurement – Coordinate the purchase or donation of food and supplies.

• Volunteer Coordination – Recruit, organize, and communicate with volunteers to assist with meal preparation and service.

• Logistics and Setup – Arrange locations, equipment, and setup for serving meals efficiently.

• Communication – Maintain open communication with coaches, parents, volunteers, and vendors.

• Record Keeping and Reporting – Track expenses, donations, and meal details; report to the board as needed.

• Team Engagement – Create a welcoming and supportive atmosphere for players and volunteers during meals.

Merchandise/Gear Coordinator

As approved and directed by the board members, you will oversee the production, sales, and distribution of team gear and merchandise. This role involves both organizational and strategic duties to support the football program and engage with the community.


Key responsibilities include:

• Inventory Management – Track and manage stock levels of all merchandise and gear.

• Design and Ordering – Coordinate the design, selection, and ordering of apparel and items.

• Sales and Fundraising – Plan and execute sales strategies to generate revenue for the booster club.

• Budgeting and Financial Management – Monitor expenses and maintain accurate financial records.

• Coordination with Coaches and Players – Ensure team needs are met and gear is distributed appropriately.

• Promotion and Marketing – Promote gear sales through events, social media, and other channels.

• Volunteer Coordination – Recruit and manage volunteers to assist with merchandise operations.

• Seasonal and Special Projects – Launch seasonal sales or special item campaigns as needed.

• End-of-Season Wrap-Up – Conduct inventory closeout, review sales performance, and prepare for next season.
